BRIEF POSTING DESCRIPTION:

The P NW GM SYSTEM OPERATION Department of the P GM SYSTEM OPERATION Division at Hawaiian Electric Company has 1 Management vacancy available.  (Role: Non-Exempt)

 

JOB FUNCTION:

Provides administrative, budgetary, and analytical support to the System Operation Department. 

 

ESSENTIAL FUNCTIONS:

  • Provides a wide variety of administrative support to the department, including but not limited to:  maintaining department filing system, creating and maintaining reports, photocopying and routing correspondence, scheduling appointments and  related arrangements for internal and  external meetings  coordinating travel arrangements and cost reimbursements, handling company sensitive and /or confidential correspondence and information,  and maintaining timesheets, internet web information..  Works independently to prepare facilities and equipment for meetings, assists in the development of meeting agendas, presentations, meeting materials, taking of minutes, status reports, and in the development of regulatory materials.  Performs other duties as assigned.
  • Prepares various forms and reports related to department personnel, activities, and statistics including, but not limited to: timesheets, vacation, sick time information, department statistics, activities, programs, production levels, etc. 
  • Researches and compiles data for department decision-making; prepares presentations and related-materials; produces and distributes various department and company reports; maintains databases.
  • Assists the manager in emergency response situations by notifying emergency response employees to report to work at their request, coordinating communication from various company personnel to the manager, assisting the manager with contacting resource groups and receiving calls for their attention.
  • Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response.

BASIC QUALIFICATIONS:

Knowledge Requirements

  • Working knowledge of Company business procedures.
  • Working knowledge of budgeting and forecasting processes (including annual Operating Forecast; Capital Budgets; vehicle, equipment, tools; office furniture and equipment, etc.).
  • Technical knowledge of document preparation requirements included in Regulatory filings is desirable
  • Working knowledge of personal computers and/or mainframe systems and related software applications such as:  Excel, MS Word, Power Point, MS Project, Vignette.  Pillar, Ellipse, DARS system knowledge preferred and operation of audio/visual equipment.

  • Excellent written, oral, interpersonal and presentation skills to effectively communicate with all levels of the organization and the public sector, which may include dealing with sensitive, difficult, or confrontational issues.

  • Organization skills to perform a wide variety of advanced clerical and administrative duties; ability to handle confidential or sensitive information with tact, courtesy, and discretion.
  • Analytical, conceptual and administrative skills to assess the demands of the job, recommend proper actions, and handle multiple systems, projects, and programs with minimal supervision.

 

Experience Requirements

  • Several (3-5) years of general office/administrative experience.
  • Few (1-2) years of accounting, budgeting or forecasting experience is desirable.
  • Few (1-2) years of work experience with the Company is desirable.
  • Several (3-5) years of experience with PC based programs.

Hiring Range: The hiring range for the **DEPARTMENT TEMP** Administrative Assistant - Oahu [Req ID 10265] position is $50,600.00 to $60,700.00. The person selected will be placed according to his/her skills and qualifications.
