BRIEF POSTING DESCRIPTION:
The P ZB RESOURCE PLANNING Department of the P OPERATIONS PLANNING & CONSTRUCTION MANAGEMENT Division at Hawaiian Electric Company has 2 Management vacancies available. (Role: Professional)
JOB FUNCTION:
Provides Transmission & Distribution Operations division technical and analytical support on evaluation and processing of contractor invoices, and management of SAP databases & field inspections. Technically Completes (TECO) work orders in SAP to ensure prompt billing and reimbursement and accurate information on status of work order completion. Maximizes T&D crew daily work schedules ensuring compliance with all applicable safety, regulatory, and legal requirements.
ESSENTIAL FUNCTIONS:
- Plans, schedules, and coordinates customer service installations. Schedules jobs with customers, external vendors, and internal providers. Maintains and updates schedule to ensure timely completion of work. Collaborates with multiple internal & external parties to ensure work is completed safely and efficiently. Planning includes researching and identifying outstanding system deficiencies, reviewing job designs, writing work procedures, preparing purchase requisitions, coordinating outside services, and reserving materials needed to accomplish the job. Scheduling includes estimating job duration and manpower requirements with emphasis on safety and efficiency. Compliance with all appropriate documentation systems (SAP, etc.) and collaboration with multiple departments and divisions to ensure work performed is in compliance with company, legal, & regulatory policies.
- Manages the end-to-end Service Entry Sheet (SES) process for resource planners, enabling accurate and timely contractor payments aligned with Finance and Business Close standards. Partners cross-functionally with Purchasing and Resource Planning to review and approve price adjustments efficiently.
- Ensures timely and accurate closure of field work orders in SAP. The role involves validating completed field activities, resolving data discrepancies, and coordinating with field personnel and other departments to ensure readiness for invoicing and financial closure. TECO of work orders directly impacts T&D Operations, SMO, System Operations, T&D Engineering, Program/Project Managers, Power Connections(CED), Asset Management, Wildfire Mitigation/Resiliency, Joint Pole, PIE, EOT, Warehouse/Stores, Commercial Client Services (CCS), Community Relations, Maintenance Engineers, Vegetation, Purchasing, Construction Management (CPM), GIS/GADOPS, Permitting, & Land & Rights.
- Develops and maintains data reporting systems and dashboards across platforms including T&D Packages SharePoint (MMW) and SAP. Analyzes and tracks field inspection data to generate actionable performance insights. Manages sensitive company information with discretion while compiling, interpreting, and presenting data to support decision-making, audit reviews, and continuous improvement initiatives.
- Leverages data analytics to assess job performance trends - scheduled, completed, and cancelled - driving operational efficiency and cost reduction across Energy Delivery. Develops and presents cost studies and performance dashboards comparing cancelled versus scheduled work, and benchmarks CID/Engineering productivity against pole maintenance programs to support continuous improvement and strategic planning.
- Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response.
BASIC QUALIFICATIONS:
Knowledge Requirements
- Thorough knowledge of business office procedures and methods for a medium size organization.
- Experience in construction or similar industry a plus.
- Basic knowledge of electrical utility or similar type industry preferred.
- Familiar with or willing to learn to read and understand construction drawings and standards.
- Basic knowledge of electrical drawings preferred.
- Basic knowledge of best practices in planning, scheduling, and coordinating work across multiple areas.
- Familiar with or willing to learn applicable state and federal regulations/permits, laws, and codes.
- Knowledge of scheduled and unscheduled maintenance processes, inventory control, and safety regulations.
- Basic knowledge estimating, planning, or scheduling construction, maintenance or operations activities highly desirable.
- Working knowledge of personal computers and/or mainframe systems and related software applications such as; spreadsheets, word processing, etc.
- Working knowledge of electrical utility transmission and distributions system facilities and equipment, acceptable work practices, and safety requirements desirable.

- Must have or be able to qualify for a State of Hawaii driver’s license. Must meet the standards for driving positions stated in the Hiring Standards for Driving Positions policy. These standards may be adjusted periodically to meet business and safety objectives.
- Ability to handle difficult and/or sensitive matters and materials discreetly using tact, and professionally.
Experience Requirements
- Several years (3-5) of general administrative support role is preferred; equivalent experience in support roles involving scheduling, data entry, and MS Office may be substitute.
- Experience using Computerized Maintenance Management System (CMMS) software like SAP PM, Maximo, or similar a plus.
- A few years (1-3) experience working in a maintenance or facilities management organization.
- A few years (2+) years’ experience in the estimating, planning, or scheduling of construction, maintenance or operations activities preferably related to utility facilities or equipment preferred.
- Experience in project management a plus.
- A two year degree in Business Administration, Industrial Technology or similar may be substituted for up to 2 years of experience.
