BRIEF POSTING DESCRIPTION:

The P FT ADMIN - SAFETY Department of the P SAFETY Division at Hawaiian Electric Company has 1 Management vacancy available. (Role: Non-Exempt)

 

JOB FUNCTION:

Provides administrative, scheduling, and organizational support to assist with the day-to-day operations of the Safety and Emergency Planning & Preparedness Division to ensure a safe work culture for all employees and an effective and efficient compliance safety operations.  Monitors and evaluates the workplace to ensure compliance with all relevant safety regulations, programs, and procedures, including maintaining safety training records and coordinating safety training and initiatives. This position requires excellent organizational skills, attention to detail, and the ability to work well in a team environment.

 

ESSENTIAL FUNCTIONS:

  • Assist managers with safety training schedules, track and create reports on outcomes of all training and maintain training records for the division. Manages the learning management system (LMS) and development and assignment of courses in LMS, including but not limited to collaborating with safety teams to optimize the learner experience, setting up courses on LMS, assigning course to employees, and uploading and tracking training records. Provides logistical and technical support before, during and after learning courses. 
  • Serves as the central procurement hub for the division; creates purchase requisitions and other records as needed for purchasing activities; processes invoices; maintaining, monitoring, and tracking all expenditures to ensure division is within budget. Researches and establishes vendors for procurement of safety supplies. Orders, distributes, and monitors office supplies and equipment.
  • Coordinates safety-related testing/assessments; administers various safety programs, such as the Safety Recognition Program; maintains the division’s INFOhana and SharePoint Online pages. Works with power users and end users to implement software modifications. Provides support with modifications, fixes, planning and implementation of new releases. Assists with testing and evaluation of new software and databases.
  • Maintains confidential safety and accident information including, workers compensation, accident information, preventable vehicle accidents, etc. Responsible for maintaining and ensuring compliance with the company’s records management system. Serves as the custodian of records for active investigations.
  • Administers programs of moderate complexity which requires exercising tact and discretion or requires broad company-wide application and coordination with related laws and policies. Makes recommendations for changes and improvements to programs and processes.
  • Provide general administrative duties in support of the vision and performs other incidental duties as required and assigned.
  • Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response.

 

BASIC QUALIFICATIONS:

Knowledge Requirements

  • Working knowledge of safety as it relates to company policies, federal, state, county, and occupational safety and health rules and regulations.
  • Demonstrated proficiency in the use of personal computers and mainframe systems and related software applications such as spreadsheets, word processing, database, and presentations.

 

Skills Requirements

  • Ability to solve difficult problems with effective solutions and the ability to learn quickly when faced with new problems.
  • Ability to work under pressure while remaining flexible in a demanding work environment and adapt to rapidly changing priorities.
  • Excellent oral and written communication skills to deal with individuals in all levels of the organization.
  • Analytical, administrative, organizational, and conceptual skills to handle multiple complex projects, and programs with minimal supervision.
  • Ability to handle difficult and/or sensitive issues while using tact, courtesy discretion and maintain confidence in all matters.
  • Strong organizational skills and attention to detail.
  • Demonstrate sound judgment and stewardship of sensitive or confidential information.
  • Strong digital skills including good understanding of the features of the following:
    • Essential: Microsoft Word, Teams or similar online conferencing platform, Excel, PowerPoint, and SharePoint.
    • Desirable: Learning Management System, or other online training software.

 

Experience Requirements

  • Several (3-5) years of related administrative experience, preferably in the occupational health and safety field.

Hiring Range: The hiring range for the Safety Coordinator [Req ID 10352] position is $60,000.00 to $75,000.00. The person selected will be placed according to his/her skills and qualifications.
