JOB FUNCTION:
The HR Service Center (HRSC) Representative is responsible for providing quality and timely customer service and support in response to inquiries from employees, retirees, and external parties/customers on Human Resources (HR) policies, programs, and systems. Responsible for accurate data entry and maintaining the data integrity of the HRIS system, while ensuring compliance with SOX protocols and applicable legal requirements. Supports the HR Generalists and HR Business Partners with the recruitment process and oversees the post-offer process to new hire onboarding. Collaborates and supports HR functional areas including but not limited to Benefits, Client Services, Compensation, HR CCOE, Labor Relations, Organizational Development & Learning, and Workforce Planning.
ESSENTIAL FUNCTIONS:
- Advises and responds timely, accurately, and consistently, to inquiries received by the HRSC phone line, HRSC email, or other access channels regarding HR related questions, inquiries, and issues on policies, processes, and procedures, while upholding a high level of customer service and confidentiality.
- Manages the HR case management tool to accurately capture, track, and follow-up on inquiries. Understands scope of services, reseraches inquiries, and escalates issues to appropriate next level support as needed. Uses professional and customer-focused approach and resources to ensure a quality customer experience.
- Manages job postings, maintaining applicant tracking data for tracking and reporting, coordinating pre-employment test administration and pre-employment screenings. Notifies Hiring Supervisor, HR Generalist and HR Business Partner when a candidate is cleared to hire and ready to onboard.
- Coordinates pre-employment test administration by identifying test qualified, eligible applicants and scheduling test sessions. Ensures compliance, accuracy, and safekeeping with Edison Electric Institute (EEI) standards and procedures.
- Navigates candidates through the pre-employment screening process to ensure timely onboarding. Orchestrates the candidate’s pre-employment screenings with external vendors (including but not limited to reference checks, background check, MVR, drug test, physical and functional capacity exams).
- Manages the onboarding process from communication with new hires, to sending out correspondences and new hire documents, to completion of I-9 form and E-Verify, in a timely manner.
- Responsible for Human Capital Management Data and Data Integrity when entering profile data in SuccessFactor’s Employee Central (HR System).
- Creates, reviews, approves, and/or audits system transactions and records associated with personnel changes, compensation, employee relations, leave of absence, and reporting. This includes but is not limited to new hires, transfers, promotions, terminations, retirements, time-in-job progressions, incremental pay increases, leave of absences etc.
- Maintains employee personnel files and employment forms according to Federal, State and company recordkeeping requirements and retention guidelines.
- Ensures compliance with the Collective Bargaining Agreement as well as Company policies and practices and all applicable laws.
- Works with the HR Finance team to respond to internal and external requests for information i.e audits, compliance reviews, and other mandatory reports.
- Maintains privacy of employee, retiree, and applicant information, including confidentiality and protection of personal identifiable information.
- Conducts research and audits HRIS issues and functionality to ensure the accuracy and integrity of the HR data meets SOX compliance requirements.
- Identifies continuous improvement opportunities to ensure policies, processes, and controls are designed, documented, and operating efficiently and effectively. Evaluates improvement options and identify ways to meet customer and business needs.
- Assists with various HR projects, including but not limited to HR system testing and user interface, system updates and changes, reorganizations, and ongoing process improvement.
- Supports the annual Summer Internship Program recruitment, hiring and activities for engagement of interns.
- Provides general support to division/department/company such as:
- Assists with community relations campaigns and events
- Assists with dissemination of announcements, information, changes
- Maintains legal bulletin boards
- Performs other duties as assigned.
- Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response.
BASIC QUALIFICATIONS:
Knowledge Requirements
- Bachelor’s degree in Human Resources strongly desired, or equivalent work experience.
- Working knowledge of HR principles, employment laws and regulations
- Technical aptitude and proficient in MS Office Suite
- Strong knowledge of general office procedures and practices
- Good working knowledge and proficiency in HR Management Systems
- Basic principles of collective bargaining agreements

- Ability to work effectively in high-pressured situations that require sound decision making and involve confidential and/or sensitive matters.
- Excellent verbal and written communication and interpersonal skills
- Must demonstrate strong organizational skills managing multiple responsibilities and attention to detail
- Ability to work collaboratively and foster a cooperative work environment
- Ability to conduct presentations for various employee groups
Experience Requirements
- 3 years of experience working in a direct customer service, call center, or administrative positions preferably in the field of Human Resources. Relevant internship experience will be considered.
- 1 year of experience in Human Resources
- HRIS experience preferred

Hiring Range: The hiring range for the HR Service Center Representative (Maui) [Req ID 9496] position is $52,400.00 to $65,500.00. The person selected will be placed according to his/her skills and qualifications. The hiring supervisor is RACHEL M ONO.
